We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess strong computer skills and have office experience providing exceptional customer service and supporting administrative functions. This role is essential in ensuring the smooth operation of our office and requires a proactive individual who can manage multiple tasks efficiently. Responsibilities include:
Answer incoming phone calls and respond to emails.
Maintain positive owner and resident relations.
Serve as the first point of contact for visitors and clients at the front desk, maintaining a professional demeanor.
Manage multi-line phone systems, handling incoming calls with excellent phone etiquette.
Perform data entry tasks accurately and efficiently, ensuring all information is up to date.
Assist with calendar management, scheduling appointments, and coordinating meetings.
Maintain organized filing systems for both physical and digital documents.
Utilize Microsoft Office and Google Workspace applications for various administrative tasks.
Support bookkeeping activities as needed, including basic accounting functions using QuickBooks.
Deliver outstanding customer support by addressing inquiries and resolving issues promptly.
Collaborate with team members to improve office processes and enhance overall efficiency.
Coordinate and schedule maintenance tasks at a variety of property locations.
Obtain bids for repairs and maintenance projects.
Communicate with property owners, association trustees, and tenants.
Order parts and materials as needed.
Working as a team in support of lease renewals and turnovers
Order office supplies.
Requirements:
1-2 years in real estate, administrative, or property management experience preferred but general administrative experience is welcome.
Knowledge of Google Workspace Tools and Microsoft Office suite.
Experience with Buildium or willingness to learn an Online Management Platform.
Strong bookkeeping skills and some proficiency with Quickbooks.
Effective written and verbal communication skills.
Detail-oriented with accurate data entry skills.

Job Type: Part-time, Hours 9am-1pm or 12pm-4pm, Monday-Friday.
